Highly regarded, well-established conference company is looking for an extremely well-organized
production coordinator, who is poised and articulate, a strong writer, and has a great eye for detail
and proofing. You will work closely with our marketing and production departments.
This is a high energy and very smart group working in an entrepreneurial office. You’ll enjoy this highly collaborative team.
You should be bright, well-educated, have at least a BA degree, along with 3 — 5 years of relevant experience. You must also be an expert at Microsoft Office Suite (Outlook, Excel, Word) and able to learn how to navigate and use our database.
Your tasks will include —
• Helping prepare for conferences including confirming speakers, collecting/editing speaker bios, and organizing conference materials.
• Managing timeline and logistics of 20+ conferences and helping to keep team on track, logistically
• Handling registrations, customer service inquiries, and pre & post conference follow up
• Creating and proofreading conference materials including promotional brochures, websites, conference agenda, PowerPoint slides.
• Attending conferences and assisting the team on-site at high-end conference locations with sophisticated business audience
• Assist with basic office management duties including office inventory and supplies and placing orders
• Overseeing office technology including all computers, phone system, printers, copiers, etc. and being the main point of contact about all matters
• Responding to all phone calls, emails, packages in a timely manner
